Certificate of Analysis (COA) or Certificate of Conformance (COC) or Certificate of Sample (COS) or even Certificate of Performance (COP). They all generally mean one thing: The need for you to produce a document proving that your product contains what you say it does and that each component conforms to the values you have said it will.
More and more companies and even countries are insisting that every delivery of product comes with a completed COA. Suppliers are having deliveries rejected or trucks “stuck at the gate” because they do not have a COA.
So, what are the key components of a good COA? In a nutshell, a COA will contain:
- The name and a description of the product.
- Key dates, including; manufacture, expiry and date COA issued.
- Batch or Serial or Lot number. The key that links the product tested on the COA, to the product delivered.
- List of all the specifications (components) of the product, including;
- Specification name (usually the scientific name).
- A method of how the test was conducted, according to international standards.
- A required test result, either within a specified range or an exact value.
- The actual result from the product test results.
- The overall result of the tests done (passed / failed scenario).
- Name, title, location, and signature of the person who did or approved the test results.
Good COA’s will often also contain additional information for the receiving company, e.g. storage instructions or health hazards and warnings.
Great COA’s will have product images, corporate logos, and member association logos.

And available for you to email out, or for your distribution centre to access online or even your customer to access online, via your own secure portal.
- Upload existing COA’s to your service.

- From external, even overseas, providers?

Have your suppliers already provided you with a COA for these products?
No problem. Just use the built-in “Upload Existing COA” option. It will;
- Load the COA to your service with the all important and traceable Batch / Serial / Lot No.
- Add a watermark on the COA to state “Verified by <your company name>”. It’s your endorsement of the original COA.
- Concessions.
You have a product with a test result that is not within the required value for the Specification? Maybe the colour is not quite right due to a drought?
No problem. Just use the built-in Concessions option. It allows you to;
- Mark the failed specification test as a concession.
- Enter a reason for the concession.
- Save the completed, but not passed, COA in your Concession basket.
- Allow a user with Concession Authority to retrieve the COA and simply “pass” it or “fail” it.
- Product Management.
You can create new, update existing, delete and even copy an existing product, through the simple, what-you-see-is-what-you-get design.
- User Management.
You can create new, update existing and suspend users. Even changing signatures is a breeze.
Every user has a simple tick on / tick off authority for every option, so you can structure your users to only see and do what you want them to.
- Special features that make your COA’s stand-out.
- SmartCOA allows you to automatically add images of your products to your COA’s.
- And you can add a logo of your business partners or corporate sponsors or parent companies or association membership.
- Every COA has a QR Code on it. When scanned, it will display the original COA. If the details on the COA you are looking at do not match the details shown on the scan, then it’s a fake!
- Give your Client Access to you COA’s.
SmartCOA allows you to give your clients the ability to access your COA’s themselves via either:
- A unique URL that you can place anywhere within your own website. When clicked, it opens a simple portal that allows COA’s to be accessed by batch / serial / lot number.
- A Client Lookup option on the SmartCOA website. Your clients simply enter a Lookup Keyword that you create and give them once. It opens the same simple portal that allows COA’s to be accessed by batch / serial / lot number.
